2021 Play and Practice Dates

For early bird registrations, it is not mandatory to enter all of the details, below. We understand that final travel arrangements may not be made until September. For now, please help us prepare for you and your team by completing as much of the detail, below, as you can. You will be able to go back into your registration later, once your travel is set, to update these details.


Opponent Selection

Opponent selection will be made during the scheduling process, which will take place in September. If there are any specific opponents you would like to play while at THE Spring Games, please enter their names, below, and we will seek them out to register for the event.

Housing

THE Spring Games is not a stay-to-play event; however, teams are strongly encouraged to stay in housing in Lake County, Florida to ensure close proximity to the fields of play. Please book housing for 2021 based on the following venue schedule:

    Coolers

    Teams may borrow coolers from THE Spring Games for a fee of $5 per week. Coolers will be picked up at the site of the team's first game. Teams are permitted up to three (3) coolers: 1 for food, 1 for drinks, and 1 for therapy ice. While THE Spring Games does provide injury ice, we do not provide therapy ice. If teams do not wish to borrow a cooler from us for the week, we do ask that you come prepared with your own therapy ice.

Policies, Waivers, and Agreements

REGISTRATION AGREEMENT
THE Spring Games 2021

GENERAL TERMS
This Registration Agreement is for Independent teams registering for the 2021 event known as THE Spring Games held in Central Florida. THE Spring Games 2021 are anticipated to be held between Friday, February 20, 2021 and Saturday, March 27, 2021. Exact dates will be announced in July of 2020.

SCHEDULING
Scheduling will be conducted in the order of registration. Teams who have been in the event for an extended period of time will be provided a "bump" in registration as a thank you for their commitment to our event.

Before teams receive a schedule, they must:
- Be up to date on invoice(s) due;
- Provide proof of insurance (uploaded through this portal);
- Completed housing survey; and
- Completed scheduling survey.

We do not guarantee your "anticipated" number of games. When the time comes to schedule your team, you will be provided a scheduling consultation during which time, we will commit to the number of games we can provide to you.

GAME BALLS
As of the date of this registration, each team is responsible for supplying two (2) game balls at each game (whether home or away). In addition, THE Spring Games will provide two (2) game balls for a total of six (6) balls in play per contest.

RAIN POLICY
In the event of rain, lightning, or other incliment weather, we will delay a game up to one (1) hour to allow the weather to pass and our field crews to prepare the fields to game-ready. If we do not anticipate being able to start the game within one (1) hour of published game time, we will cancel that game due to weather and immediately begin the process of rescheduling the game the same day. In rare circumstances, games may be rescheduled on a different day. Our emphasis, then, will be to get the next round of games started on time so that the later games in the day are not negatively impacted by morning weather.

Because of this management process, we ask teams NOT TO TRAVEL ON PLAY DATES. Teams should plan on delays and should allow room in their schedule to be able to make up games in evening of their scheduled play date.

We do not provide refunds for rain or weather cancellations. We understand that you are coming to THE Spring Games to get games in (not to have games cancelled and refunded) and we take that seriously. For this reason, we work hard to reschedule cancelled games so we get your games in during your trip to THE Spring Games. Please support us in this effort by:

- Not scheduling travel or other activities in evenings that would preclude you from making up earlier game cancellations; and

- Downloading our app and checking it regularly to keep abreast of scheduling changes.

LIVE STREAM
THE Spring Games has an exclusive agreement with FloSoftball to live stream the event. For this reason, teams are prohibited from live streaming video of the games at any time or in any capacity. Teams who violate this policy will be asked to stop streaming and may not be invited back to future events should they fail to comply with this policy.

The foregoing notwithstanding, teams are encouraged to radio broadcast their games and to sync that broadcast with the livestream to provide a better quality program for the fans watching at FloSoftball.com.

THIS IS YOUR CONTRACT with THE Spring Games, LLC to secure your registration position in THE Spring Games 2021. Please print a copy for your records. If you have questions, please contact [email protected] before submitting your Registration.

* Second team registration (e.g., JV teams or multi-week registrations) are one-half the regular rate.

Teams seeking to enter THE Spring Games on or after September 1, 2020 will be admitted into the event based on availability only at the discretion of the Tournament Director. Fees for teams who are admitted into the event after registration is closed will be as follows:
$350 Registration fee plus
$110 per game
All fees, once paid, are non-refundable. If a teamregistered during Early Registration cancels their trip on or before August 1, 2020, their registration fee will be credited toward the next year's event. Game fees, once invoiced, are non-refundable. See "Cancellation Fees," below, for additional fees that will be charged for teams who cancel or change their play dates during or after the scheduling process.

Late Fees
Invoices remaining outstanding after 45 days will be assessed a $15 per month late fee until paid in full.

Cancellation Fees
OUR GOAL IS TO HAVE THE SCHEDULE COMPLETED AND PUBLISHED BY THANKSGIVING EACH YEAR. In order to achieve that goal, it is imperative that teams plan ahead and communicate with us. We also ask all teams to understand that changes to the schedule impact more than just us and you - it affects all other teams you are scheduled to play AND all other teams who are scheduled to play at a complex that day but who have to change their schedules to accommodate your game change requests.

For these reasons, effective January 2020, we have a cancellation fee policy in effect for teams who change or cancel their play dates once the scheduling process has begun.

For teams who cancel on or after October 9, 2020:
- $750 for cancellation of all games (meaning: the team backs out of the event entirely)
- $75 per game cancelled or play date changes (meaning: the team remains in the event but reduces game count or changes play dates)

For teams who cancel on or after December 14, 2020:
- $1,000 for cancellation of all games (meaning: the team backs out of the event entirely)
- $100 per game cancelled or play date changes (meaning: the team remains in the event but reduces game count or changes play dates)**
- Game time change requests after schedule has been assigned: $50 per game**

For teams who cancel on or after January 11, 2021:
- $1,500 for cancellation of all games (meaning: the team backs out of the event entirely)
- $150 per game cancelled or play date changes (meaning: the team remains in the event but reduces game count or changes play dates)**
- Game time change requests after schedule has been assigned: $100 per game**

** Change requests are not guaranteed and teams will only be charged if we are able to accommodate the request. If the team cancels games on a day because change requests cannot be honored, the cancellation fee will apply.

The above Cancellation Fees are in addition to the Registration and Game Fees paid by the team.

We STRONGLY discourage travel on play dates. We cannot guarantee morning games on departure dates. When booking travel, please assume that flights will be delayed, that traffic will be poor, and that your airline may change your flight after you have booked it. Wherever possible, please book morning flights if you intend to arrive the day prior to your first game and next-day flights after your last day of play.

By registering for THE Spring Games, you, on behalf of your school and student-athletes, give THE Spring Games, PFX Athletics, and FloSoftball the right to use the school's trademark and athletes' name, likeness, and image for THE Spring Games events, activities, merchandise, and promotions (including but not limited to promotional materials, merchandise, and live stream).

You also acknowledge that THE Spring Games has an exclusive agreement to live stream the event with FloSoftball and that you will not, nor will you allow any other individual affiliated with your college or university, to stream the games.

By registering, you represent, warrant, and acknowledge that you have the authority to bind your school in this manner.

Prior to participation in THE Spring Games, your University must provide us with a Certificate of Liability Insurance (COI) for the benefit of THE Spring Games, LLC, PFX Athletics, and the venue owners/managers as a certificate holder in the amount not less then $1,000,000. Information on the venue owners/managers can be found on our website at www.THESpringGames.com under "Insurance."

In addition, I acknowledge that this athletic event is an extreme test of a person’s physical and mental limits and carries with it the potential for death, serious injury and property loss. The risks include, but are not limited to: actions of other people including, but not limited to, participants, volunteers, spectators, coaches, event officials, event monitors and/or producers of the event; lack of hydration, weather, and/or other natural conditions. I hereby assume all of the risks of participating in this event.

I certify that I and the athletes I will bring to this event are physically fit, have sufficiently trained for participation in this event and have not been advised otherwise by a qualified medical person.

I acknowledge that this Accident Waiver and Release of Liability (AWRL) form will be used by THE Spring Games and the sponsors of the event in which I may participate and it will govern my actions and responsibilities at aid event.

In consideration of my application and permitting me to participate in this event, I hereby take action for myself, my executors, administrators, heirs, next of kin, successors, and assigns as follows: (A) Waive, release, and discharge from any and all liability for my death, disability personal injury, property damage, property theft or actions of any kind which may hereafter accrue to me or my traveling to and from this event, THE FOLLOWING ENTITIES OR PERSONS: THE Spring Games, and their directors, officers, employees, volunteers, representatives and agents, the event sponsors and event volunteers, (B) indemnify and hold harmless all entities or persons mentioned in this paragraph from any and all liabilities or claims made by other individuals or entities as a result of my actions during this event.

I hereby consent to receive medical treatment that may be deemed advisable in the event of injury, accident, and/or illness during this event.

I understand that at this event or related activities I may be photographed. I agree to allow my photo, video, or film likeness to be used for any legitimate purpose by the event holders, producers, sponsors, organizers, and/or assigns.

This AWRL shall be construed broadly to provide a release and waiver to the maximum extent permissible under the applicable law.
